Job Description

The Medication & Compliance Officer is responsible to ensure that our business processes and transactions follow all relevant legal and internal guidelines. Your duties will include reviewing and developing company policies, having oversight of compliance levels across the company, and creating actions to ensure compliance levels are maintained.

Specific Duties: The Medication & Compliance officer will be specifically responsible for:-

Daily tasks to be completed for Medication Management System (MMS) Compliance

Medication Library
  • Review all submissions made. If details on the attached label are accurate the medication addition can be approved, otherwise reject and contact the staff who submitted to let them know what they need to change
Medication Profile Compliance
  • Review and approve medications pending approval for each service user.
  • Review if medications cycles are ending, if the medication is repeated then create a new cycle
  • Review and approve medication cycles pending approval for each service user so next schedules are in the system.
  • Review medications, which are on low stock, contact properties and or pharmacies to organize medication stock and update the system.
  • Review the missed medication count for each service user should be zero
  • Monitor and review possible side effects from the active medications the service user has been assigned.
Medication Staff Training Compliance
  • Review expired or about to expire training licenses for staff. Contact the staff Line Manager and Area Manager to ask them to ensure that they are enrolled in the relevant training courses.
Medication Change Requests
  • Review submissions, which have been made for change requests. If the reasoning and evidence are valid then approve them, otherwise reject it contact the staff member who submitted to let them know what changes need to be made.
Medication Under and Overdose (Scheduled and PRN)
  • Review the number of underdoses and overdoses, which are occurring.
  • Review the administration record to confirm if notes and mar code are accurate.

Weekly tasks to be completed for MMS Compliance

  • Medication Time Scheduled vs Time Given Medication Schedules.
  • If the number of late or early administration is above X then
  • Check with staff at the property if the preferred timings have been set correctly.
  • If changes need to be made ask staff review the preferred times and submit a change request.
Medication Stock
  • Review if stock corrections are made at a property more than X times.
  • Speak with staff as to why these numbers of corrections are made.
  • Medication Administration Compliance
  • Check that all the administration data is uniform and accurate
  • Doses are given accurately
  • Mar codes assigned correctly
  • Notes match with mar code
  • Support the development of software that correlates medication, adverse side effects, adverse behaviors.

Generic Duties: In addition to specific responsibilities, the M & C officer will also be responsible for ensuring:

1. Develop and review company policies.
2. Advice management on the company’s compliance levels across different systems using detailed reports.
3. Create and manage effective action plans in response to audit discoveries and compliance violations.
4. Regularly audit company procedures.
